Custom email reports
You can create a new email report in Administration, Email reports.
ManicTime Cloud and Server can send daily, weekly, monthly, or yearly email reports. You can configure email reports to send an email for:
- whole organization
- specific team
- specific user
There are three reports available:
- Summary - A summary report with various data
- Arrive late / Leave early violations report - A list of users who arrived too late or left too early based on settings in Administration, Site settings, Work time
- Overtime violations report - A list of users whose total work time falls outside the defined overtime threshold, based on the settings in Administration, Site settings, Work time. For example, if the work time is set to 8 hours per day and the email is sent on a weekly basis, then the expected total is 40 hours per week. If the threshold is set to 5, the report will include all users who worked less than 35 hours or more than 45 hours. If the email is sent on a daily basis, then using a 1-hour threshold may make more sense — it would report all users who worked less than 7 hours or more than 9 hours.
All values in the report link back to the site, so you can do further analysis.
Email reports per user
Use this option when you want each user to receive their own summary email report generated from their own data.
An administrator can configure this once for all users, rather than creating a separate report for each person. Each recipient receives a report based on their own data.
To create these reports, click Create email report, then Create email reports per user. The report type is Summary per user.
Each user receives only the report about themselves. No user receives the report of another user. This is also true when you click Send now. A user without an email address receives no report.
When the server sends email reports
An email report has no send time. The server sends a report shortly after the period that the report covers ends:
- Daily - when the day ends.
- Weekly, Monthly and Annually - when the last day of the week, month or year ends.
The end of a day follows the time zone in Administration, Site settings, General, and the day start shift. For example, with a day start shift of 4, a daily report goes out after 4 AM. So the report always covers a full day.
If the server is off when several periods end, the server sends only the report for the last period.
If a violations report has no violations for the period, the server sends no email.
Timesheet email reports use their own schedule. This section does not apply to them.
Send now
Send now sends the report now, not at the end of the period. The report covers the current period up to now. Send now does not change when the server sends the next scheduled report.
The server sends the report in the background, so you can continue to work. A notification shows Sending email report... while the server sends the report. The notification then shows if the server sent the report or if the send failed.
Archived users
The server does not send email reports to archived users. This applies to scheduled reports and to Send now. It also applies to an email address that you typed in a report, if that address belongs only to archived users.
An archived user stays on the recipient list of each report. When you restore the user, they receive the next report that the server sends. The server does not send the reports that the user did not receive while archived.
